What It Is
A guided discovery and review app for pre-sales teams, tailored to the products you sell.
Who Uses It
Sales reps in the field, the service managers and solutions engineers who review their work, and an administrator.
What It Produces
A complete, approved picture of each customer's jobs, samples and requirements, ready for configuration and quoting.
Where It Runs
In the browser on laptops, tablets and phones. It installs to the Home Screen and works offline.
The Problem It Solves
Selling complex equipment and software depends on details: how many jobs a customer runs, how big and how often, what their materials look like, and what has to connect to what. Most teams still capture those details with fillable PDFs, spreadsheets, notes and phone photos.
The result is familiar. Each rep asks different questions. Samples are described rather than measured. Reviews bounce between inboxes with no clear record of who approved them. When the questionnaire changes, someone has to re-send it to everyone and hope the old copies disappear. Gaps show up late, often after the order is signed, as change orders, re-work and unhappy customers.
OnTrack Atlas puts discovery on rails: the same guided steps for every rep, real measurements instead of guesses, an expert sign-off before quoting, and one place to publish updates.
Who It's For
OnTrack Atlas is built for organizations that sell solutions where a wrong assumption is expensive:
- Equipment dealers and manufacturers' sales teams
- Office, print and document technology providers
- Mailing, inserting and document-finishing specialists
- Software and workflow-automation vendors with a technical pre-sales step
- Solutions engineering, service and implementation teams who sign off on what sales proposes
It works for a handful of reps or a regional team, with managers and an administrator overseeing the program.
How It Works
1. Discover
The rep starts a review from the dashboard and is guided step by step: the customer, their current process, and each application or job they run. Required details must be filled in before moving on, and progress is always visible. Reps can set their own defaults (office, name) so routine fields fill themselves.
2. Capture Customer Samples
For each application, the rep photographs the customer's sample. OnTrack Atlas detects it in the photo and measures it automatically, then checks the measurements against your equipment's limits. The rep can adjust any point by hand. Each sample is ticked against the applications it applies to, and it appears in the review summary. A sample can also be the starting point: measure first, then start a review from it.
3. Expert Review and Approval
With one tap, the rep sends the review and its samples to the service managers. A manager opens it, makes any corrections (which go back to the rep automatically) and approves it. Approving a review locks its samples and measurements for everyone. On samples, managers can compare the rep's point placement, the automatic placement and their own. Only a manager can unlock an approved item, and unlocking clears the approval.
4. Recommend
The approved review becomes the hand-off: a clean summary of the customer, every application, the linked samples and the requirements, ready for configuration, pricing and implementation. It can be printed or exported.
Modules
OnTrack Atlas is organized into modules, each tailored to a product family or pre-sales task. Two are in use today, and more are planned.
| Module | What It Does | Status |
|---|---|---|
| Discovery Review | Guided review of a customer's applications and requirements for production mailing and document-finishing equipment, with a Customer Samples step and summary. | In Use |
| Envelope Verification | Measures envelopes from a photo (size, flap and throat), checks them against equipment limits, and links them to applications. | In Use |
| More Product Families | Discovery reviews for other hardware and software lines, built the same way. | Planned |
Admins choose which modules each rep can use. A rep with only Envelope Verification sees just their sample measurements; a rep with both sees reviews with their samples attached.
Roles
| Role | What They Do |
|---|---|
| Rep | Runs discovery, captures samples, saves and syncs their work, sends it for review, and exports or prints summaries. |
| Service Manager | Sees everything reps send, edits and approves reviews, approves and locks samples, and unlocks them when changes are needed. |
| Administrator | Creates accounts, turns modules on or off per rep, sets rep defaults and storage limits, and publishes new versions of the app. |
Making It Yours
OnTrack Atlas is customizable by design, but it isn't a blank form builder. Pre-sales discovery is only useful when it asks the right questions for the products you actually sell, so each module is tailored to your product lines, qualification criteria and equipment limits.
- Your questions and steps: discovery reviews are shaped around how your experts decide whether a solution fits.
- Your limits: sample measurements are checked against the specifications of your equipment.
- Your rollout: turn modules on per rep, so you can pilot with a few people before going wide.
- Your release schedule: the administrator publishes a new version once and every rep's app picks it up the next time it connects. Earlier versions are kept, so you can switch back.
A typical engagement starts with your current questionnaire and a conversation with the people who review deals. From there, the module is built, tested with a few reps, and published.
Saving, Sync and Offline Use
Reps work where the customer is, which isn't always where the signal is. OnTrack Atlas saves continuously, both on the device (encrypted) and on the server. With no connection, work is saved on the device and uploads automatically when the device reconnects. The dashboard's Refresh button syncs new work from other devices, items sent to the rep and app updates without signing in again.
Because everything is also stored on the server, reps can move between a laptop and a tablet, and their work is backed up. Admins set a storage allowance per rep (250 MB by default), and the rep is warned as they approach it.
Security and Privacy
- Encrypted on the server: reviews, samples and photos are encrypted with AES-256-GCM before they are stored, including the customer names shown in lists. Only account emails, item types, dates and sizes are stored unencrypted.
- Encrypted on the device: work kept for offline use is encrypted in the browser and unlocked only after sign-in.
- Invite-only: reps can't sign themselves up. The administrator creates every account, and access can be switched off at any time.
- Need-to-know visibility: reps see their own work; service managers see what's sent to them; locks are enforced by the server.
- Protected exports: exported files are encrypted with the rep's password.
Platform
OnTrack Atlas is a web app that runs in any modern browser on Windows, macOS, iPadOS, iOS and Android, with no app store needed. It installs to the Home Screen for a full-screen, app-like experience. The service runs on Cloudflare's global network, so it's fast wherever your reps are.
Roadmap
OnTrack Atlas began with mailing and document-finishing equipment, where a mismeasured envelope or a missed job can derail an installation. The goal is broader: to cover the entire pre-sales process for hardware and software, from the first discovery meeting through technical review, recommendation and hand-off to implementation. New modules follow the same pattern of guided steps, real measurements where they matter, and an expert sign-off.
Common Questions
Do reps need to install anything?
No. Reps sign in from a browser. They can add it to their Home Screen for an app-like experience, but it isn't required.
Can we use our own questionnaire?
Yes. That's the starting point. Your current questions and review criteria are turned into a guided module tailored to your products.
What happens when a rep has no signal?
They keep working. Everything is saved on the device and uploads automatically when they reconnect.
Who can see customer information?
Reps see their own work, and service managers see what reps send them. Data is encrypted on the device and on the server.
How are updates rolled out?
The administrator publishes a new version from the admin page. Every rep's app picks it up the next time it connects, and earlier versions are kept.
